This policy explains what information AZ Engineering collects when your organisation uses the AZ Engineering assistant inside Microsoft Teams, why we hold it, and the choices available to you and to your organisation. It also covers this website.
1. Who we are
AZ Engineering provides engineering, project controls and digital services, including the Teams assistant described here. For privacy matters, write to azengineeringapp@gmail.com.
2. Information we process
- Messages you send to the assistant. The text of your questions and any file or content you include, together with the reply generated for you.
- Account information provided by Teams. When you message the assistant, Teams supplies your display name, your organisation (tenant) and user identifier, and a conversation identifier, so the reply can be returned to the correct chat and access can be limited to authorised accounts.
- Technical records. The time of each request, whether the reply was delivered, and error information used to keep the service working.
- Website. This website does not set advertising or analytics cookies and does not build a profile of visitors. Our hosting provider keeps basic request logs.
3. Why we process it
- To generate the reply you asked for and return it in your Teams chat.
- To keep the assistant available, stable and secure, and to diagnose faults.
- To restrict access to accounts your organisation has authorised, and to prevent misuse.
4. Where processing takes place
The assistant runs on servers operated for AZ Engineering. To generate a reply, the message text and any project material you include are processed by an external language-model service used strictly for that purpose. Content may be processed on servers located outside your country. We do not sell your content, we do not use it for advertising, and we do not use it to build marketing profiles.
5. Who sees your information
Access is limited to the administrators who operate and support the service, and to the service providers needed to run it (hosting and the language-model service). We may disclose information where the law requires it. Information is not shared with any other organisation, and never for marketing.
6. How long we keep it
- Conversation records used for reliability and quality checks: up to 90 days, then deleted.
- Operational and access logs: up to 12 months.
- You may ask us to delete your conversation records earlier, and we will do so unless we are required to keep them by law.
7. Security
Traffic between Teams and the assistant is encrypted in transit. Access to the service is restricted to authorised accounts, administrative access is limited to named individuals, and credentials are held in encrypted storage. Requests arriving from outside your organisation are rejected.
8. Your choices
- Ask for a copy of the conversation records held for your account, or for their deletion, by writing to azengineeringapp@gmail.com.
- Stop using the assistant at any time by removing it from your Teams account. Your Teams administrator can also remove it for the whole organisation, which ends further processing.
9. Children
The assistant is a business tool and is not directed to children. It should not be used by anyone under the age of 16.
10. Changes to this policy
We may update this policy as the service develops. The revised version will be published on this page with a new effective date. Material changes will be notified to the organisation that administers the assistant.
